Urban Legal Recruitment is assisting our esteemed client, a well-established and highly respected Calgary law firm, in the recruitment of an experienced Real Estate / Corporate Legal Assistant.

This is an excellent opportunity for an experienced legal professional with a strong background in residential real estate, corporate law, and commercial real estate transactions. The successful candidate will play an integral role in supporting a busy practice by managing files from opening through closing, preparing legal documentation, coordinating transactions, maintaining corporate records, and ensuring matters are completed accurately and efficiently.

Key Responsibilities

• Provide day-to-day legal and administrative support to lawyers practising in residential and commercial real estate and corporate law.

• Independently manage residential real estate transactions from file opening through closing, including preparing documents, conducting due diligence, coordinating funding, registrations, and final reporting.

• Assist with commercial real estate transactions, including purchases, sales, refinances, and related closing documentation under lawyer supervision.

• Conduct title, Personal Property Registry, Land Titles, tax, and other due diligence searches.

• Coordinate all aspects of real estate closings to ensure transactions are completed accurately and within established timelines.

• Prepare and file a variety of corporate documents, including incorporations, annual returns, resolutions, amendments, and other corporate changes.

• Maintain and update corporate minute books and records.

• Complete registrations and filings with the appropriate regulatory authorities.

• Respond to client inquiries professionally while maintaining exceptional client service throughout each transaction.

• Assist with billing, file management, document management, and the maintenance of critical deadlines.

• Organize and maintain both electronic and physical files using document management systems, including NetDocuments.

• Ensure all corporate and transactional matters are completed accurately, efficiently, and in compliance with legal and regulatory requirements.

Qualifications

• Minimum of five years of experience in Real Estate and Corporate Law.

• Strong residential real estate experience is required.

• Commercial real estate experience is considered a strong asset.

• Completion of a recognized Legal Assistant, Law Clerk, or Paralegal program is preferred.

• CORES Level 1 certification is required. CORES Level 2 or 3 is considered an asset.

• Experience with Unity Accounting for billing and Unity Practice Management for conveyancing.

• Experience with NetDocuments or a similar document management system.

• Experience using Adobe Acrobat and Microsoft Office applications.

• Experience with Emergent corporate software is considered an asset.

• Exceptional organizational skills and meticulous attention to detail.

• Strong written and verbal communication skills.

• Proven ability to manage multiple priorities while working in a fast-paced, deadline-driven environment.

• A proactive, team-oriented approach combined with the ability to work independently and take ownership of files.
