Urban Legal Recruitment is assisting a highly regarded Calgary based law firm in the recruitment of an Intermediate Legal Assistant to work join their Banking Department. 

This is an excellent opportunity for a Legal Assistant with approximately 7–10 years of experience, including experience supporting Partners and Senior Associates. The successful candidate will independently manage the day-to-day administrative and practice support activities for a busy group of lawyers and will play a key role in ensuring the smooth operation of the practice.

This position requires a high level of support and responsibility, making it ideally suited to someone who enjoys taking ownership of their work, anticipating needs, and consistently delivering exceptional service.

Work Environment

Our client offers a hybrid work environment, with employees working four days per week in the office and one day remotely, subject to business and operational requirements. The successful candidate must reside in or near Calgary, Alberta and be able to commute to the office as required.

Primary Responsibilities

  • Manage administrative duties including email and calendar management, meeting coordination, and travel arrangements
  • Coordinate workflow and provide comprehensive support to two Partners and a Senior Associate
  • Maintain bring-forward systems and provide reminders as needed
  • Prepare legal documents and correspondence, including drafting letters, revising documents, and preparing document comparisons
  • Transcribe digital dictation
  • Assist with monthly billing processes, including time entry, draft billing preparation, billing review, and liaising with accounting
  • Maintain organized electronic and physical filing systems
  • Support new matter intake, including conflict checks and engagement letter preparation
  • Coordinate document execution and closing processes
  • Liaise with clients, opposing counsel, courts, and other external stakeholders
  • Coordinate with other administrative departments as required
  • Provide backup support to other assistants when needed
  • Assist with special projects and other administrative duties as assigned

Required Knowledge and Experience

  • Completion of a Legal Assistant diploma or an equivalent combination of education and professional experience
  • Approximately 7–10 years of experience as a Legal Assistant
  • Significant experience supporting Partners and Senior Associates
  • Experience working within a large law firm environment is considered a significant asset
  • Strong understanding of legal terminology and law firm procedures
  • Experience with BigHand is considered an asset
  • Proficiency in Microsoft 365, Excel, PowerPoint, Adobe Pro, digital dictation, and document management systems such as iManage
  • Ability to work effectively in a fast-paced, team-oriented environment
  • Exceptional organizational skills and attention to detail
  • Proven ability to manage multiple priorities while maintaining a high degree of accuracy
